Role guide

In Hops, every team member has a role that determines what they see and can do. Below you'll find a per-role overview of permissions and the modules they typically use.

  1. Owner

    The owner has full access to all parts of Hops — from company settings and subscription to all modules, staff management and the audit log. This is the only role that can change the subscription and view invoices.

    What you can do

    • Open and manage all modules

    • Change company settings and opening hours

    • View, upgrade or cancel the subscription

    • Add staff, change roles and revoke access

    • View financial overviews: tips, payroll and cash close

    • View the audit log — who changed what

    • Full access to the Admin portal

  2. Manager

    The manager runs day-to-day operations and has access to almost everything — except subscription and invoices. Building schedules, approving hours, assigning tasks and handling requests: this is the manager's domain.

    What you can do

    • Build, edit and publish schedules

    • View and approve staff hours

    • Create and assign tasks and checklists

    • Handle requests (leave, swaps, documents)

    • Run POS close and day close

    • Manage TeamChat and pin messages

    • Adjust module settings (no subscription or invoices)

  3. Kitchen

    The kitchen role focuses on HACCP and the kitchen cockpit. Log temperatures, complete cleaning schedules, process receipts and takeaway orders — and beyond that, just their own schedule and TeamChat.

    What you can do

    • Fill in and close cleaning schedules

    • View and process takeaway orders in the kitchen cockpit

    • View receipts and ingredient lists

    • View own schedule and hours

    • Participate in TeamChat

  4. Bar

    The bar role centres on POS and floor service. Perform the daily cash close, view tip share, track own hours, pick up tasks — plus TeamChat for day-to-day comms.

    • View own tip share

    • Track own hours and submit requests

    • View own schedule

    • Pick up and complete tasks and checklists

    • View takeaway orders

    • Participate in TeamChat

  5. Staff

    Staff focus on their own work. Clock in, check the schedule, set availability, pick up tasks and use TeamChat — that's the daily domain of the staff member.

    • View own schedule and set availability

    • Submit leave and swap requests

    • Pick up and complete tasks and checklists

    • Participate in TeamChat

    • View own tip share
